Roles & Procedures

This page is intended to give you some background on how we work, what we expect and the overall process of getting a site published.

Also of interest may be a quick overview of the request process or our work request form.

Stages of production

There are several stages in the production of a web site. These are:

  1. Defining its purpose as well as the objectives and audiences for each part of the site.
  2. Creating an organizational structure and navigational system (information architecture) that will support the site's goals and be consistent with existing standards.
  3. Creating the overall visual design for the site. For example, banners, navigational bars and buttons.
  4. Assembling the information and illustrations to be used.
  5. Building the web pages that make up the site.
  6. Special coding, designing databases, developing search capabilities, etc. as needed.
  7. Staging the finished pages for review prior to publication.
  8. Publishing the pages to a live server.

Depending on the scale and complexity of the site, varying levels of coordination will be needed to make sure that each step is well executed.

Submitting Content

Content can be best used by the WDC if submitted as MS Word documents, (.doc or .rtf extensions.) Content should not include excessive formatting, i.e. indentations, bullets, etc.

All HTML formatting will be applied by the WDC during production.

Level 1
Full Support

Provides content and updates to WDC, reviews draft pages, and reviews staged pages for final approval.

Provides all page production, final technical reviews and publishes site. Makes maintenance updates as instructed.

Level 2
Self-maintenance

Provides content already organized and maintains content. Reviews staged pages for any final modifications and approves.

Takes electronic information and uses layout, providing consultation as appropriate, and completes production, final reviews and publishes site. Assigns access to user for self-service maintenance.

Level 3
Custom Support

Provides a separate web application that is linked to Division and/or campus web site, e.g., the Integrated Facilities Information System with its own web access.

Provides any special design elements or coding that might be needed and reviews for consistency with Division web guidelines.

Level of Support Used

You are encouraged to start with Level 1 support initially. As we develop a maintenance pattern, we will encourage moving to Level 2 for those who would prefer it. Also, it is expected that more complex projects will require more support.

Site Maintenance Responsibility and Access

You are expected to keep your content accurate and up-to-date. Each site will be required to have at least one person assigned with maintenance responsibility.

Usability Testing

We will work with you to conduct usability testing as needed.
